Position Description

The position is responsible for performing a wide range of administrative and office support activities to support the work of the outreach staff and to facilitate the efficient operation of the organization.

Primary Responsibilities
• General duties to ensure the efficient operation of the JET office, including:
o Answering phone calls and returning messages in a timely manner;
o Answering emails and website inquiries in a timely manner;
o Purchasing supplies;
o Postage (in and out);
o Preparing and sending out donation cards, receipts and other correspondence;
• Desktop publishing for publicity ad for electronic mail to the JET mailing lists;
• Disseminate information to the JET mailing list, weekly emails from the organization, emails for specific programs, etc.;
• Maintain and update the calendar of events, Community calendar, JET databases, including tracking sheets for JET programs, classes and events;
• Prepare reports from the database; e.g. labels, lists and mailings;
• Coordinate large mailings, including finding volunteers, making labels and packing envelopes;
• Working in Conjunction with the Program Coordinator, provide administrative support for classes, programs and events, including:
o Coordinating materials,
o ordering/booking supplies and personnel for events and programs
o Selling tickets and registering participants;
o Room bookings;
o Flyer distribution;
o Photocopying and collating materials; and
• Other administrative and logistical support as needed
o Providing financial data for the bookkeeper – payments, bills and invoices.
o Liasing with bookkeeper as needed
• Attendance at Staff Meetings and other meetings as required

Operational Requirements
• This position requires attendance at some JET events.

Hours per week: 20 (+ some additional hours for Major programs)
Reports to: Rabbi Shaps, Director
