Development and Operations Associate
The Development and Operations Associate plays a pivotal role in supporting the efficient operations of the Jewish Federation of Ottawa (Federation), whose mission is to enrich Jewish life through fundraising, community allocations, and programming.
Reporting to the VP, Operations, this role focuses on office administration, governance support, and event coordination to ensure the organization runs smoothly and effectively. The successful candidate will also collaborate with the Development team to assist in fundraising efforts during the Campaign period.
We are seeking a proactive, highly organized individual with exceptional communication skills, sound judgment, and the ability to juggle multiple priorities in a fast-paced environment.
Key Responsibilities
Office Administration and Coordination
• Act as the primary point of contact for the community when engaging with the Federation, providing outstanding customer service.
• Oversee daily office operations, including managing office supplies, coordinating facilities maintenance, and addressing inquiries via email, phone, and in person.
• Collaborate with the VP of Operations to manage office logistics and staff functions.
• Organize and schedule internal meetings, training sessions, and team activities, including holiday celebrations.
• Maintain accurate and up-to-date contact lists for committee members, partners, and agencies.
• Direct incoming correspondence to the appropriate staff members or volunteers for action.
Governance Support and General Administration
• Provide administrative and logistical support for the Board of Directors and assigned committees in collaboration with the VP of Operations.
• Prepare Board packages, record meeting minutes, and manage follow-up correspondence.
• Support the planning and execution of Board and committee meetings, including annual agency reviews.
• Oversee special projects assigned by the VP of Operations or senior managers.
• Assist in administrative tasks for high-level Federation initiatives as required.
Event Coordination
• Plan and execute logistics for Federation events, including vendor coordination, event setup, and on-site support.
• Collaborate with team members to organize community programs and gatherings.
• Coordinate all aspects of the Annual General Meeting, including the community awards process.
Development Support
• Support canvassing efforts during the Campaign in collaboration with the Development team.
• Assist with donor stewardship activities, including correspondence, follow-ups, and tracking.
• Provide administrative support for fundraising events and donor-focused initiatives.
Skills and Qualifications
• Exceptional customer service skills and strong verbal and written communication abilities.
• Excellent organizational skills, with a demonstrated ability to set priorities and meet deadlines.
• Proactive, resourceful, and able to exercise sound decision-making.
• High proficiency in Microsoft Office, particularly Excel.
• Proven ability to thrive in a fast-paced environment while managing multiple tasks.
• Quick and accurate word processing skills.
• Self-starter who is adaptable and team oriented.
• 3-5 years of experience in office administration or development support.
• Knowledge of the Jewish community is an asset.
Compensation: Salary range: $57,000 - $62,000, based on experience. Medical and drug benefits package, free JCC membership, and group RSP available after a year’s service. Free parking on site.
