Accounts Receivable Clerk & Scheduling Coordiinator

Under the direction of the Controller and CFO, the Accounts Receivable Clerk will perform a broad scope of accounting activities in accordance with generally accepted accounting principles and practices, and in accordance with the organization’s policies and practices.

Under the direction of the Soloway Jewish Community Centre’s VP of Operations, the Scheduling Coordinator will be responsible to assist with the daily scheduling of rooms for the facility and to help to ensure that there are no major community conflicts when booking special community-wide events.

The incumbent will carry out assigned tasks on behalf of the Soloway JCC operations and activities. The duties include but not limited to:

1. Financial Services:
Provides accounting services to support the Soloway JCC by:
• Processing Member & Guest Services daily cash-outs and following up discrepancies
• Preparing daily bank and remote deposits
• Preparing journal entries
• Analyze data and reports
• Preparing charitable tax receipts
• Prepare Accounts Receivable invoices with follow-up
• Performing other general clerical as assigned

2. Scheduling Coordinator
Provides services to support all departments at 21 Nadolny by:
• Assists to schedule meetings, programs, events and community-wide events ensuring that there are no conflicts or double bookings with Organizations and/or Agencies
• Provides online calendars and schedule services
• Manages the inventory of resources like audio-visual equipment
• Prepares daily reports for the management team to assist them with the daily management of their programs and events
• Prepares daily reports for the housekeeping/maintenance staff to assist them with the daily management of their equipment, rom set up requirements and to ensure the smoot and efficient running of the facility
• Communicates frequently with internal and external customers regarding room bookings, set up requirements, community-wide events and/or discrepancies
• Prepares reports, confirmations, etc. via phone and email
• Enters work orders daily into computer system
• Ensures that invoicing is sent with respect to organizations or individual room bookings that require payment
• Prepares rental contracts
• Communicates frequently with Security to ensure their understanding of the requirements of certain rentals when additional hours of operation are required
• Ongoing meetings with Housekeeping Manager and/or Housekeeping Supervisor to ensure that all housekeeping requirements will be met with respect to room settings and rentals
• Prepares the Hours of Operation report
• Monitors and prepares the Ottawa Jewish Bulletin calendar deadline report in conjunction with the publication dates and deadlines of the OJB
• Ensures that community-wide events are posted on the calendar of the JewishOttawa.org web site

• Secondary school level – basic accounting knowledge preferred
• Skill in preparing and analyzing detailed reports on a timely basis
• Skill in the use of Microsoft Office, including Excel
• Good verbal, written and interpersonal communication skills required
• Fluency in both official Canadian languages is required
• Knowledge of Jewish community is an asset
• Ability to work under pressure of time constraints
• Customer service-dedicated to meeting the expectations and requirements of internal/external customers
